Choosing an AI Email Client for IMAP
If your email is not on Gmail, the AI email market can feel closed to you. Most tools are built on Google’s own connection and stop there. An AI email client for IMAP is different. It works with almost any mailbox, including Fastmail, Zoho Mail, AOL Mail, iCloud Mail, Yahoo Mail and the mail server your company runs.

What is IMAP?
IMAP stands for Internet Message Access Protocol. It is the standard that lets an app read the mail that lives on your provider’s server. When you use your phone’s built-in mail app, it is almost certainly using IMAP. Sending happens over a partner standard called SMTP.
Because nearly every provider supports IMAP, an app that speaks it can connect to nearly every mailbox.
Why an AI email client for IMAP matters
Choosing a client built on IMAP gives you three advantages.
You keep your provider. You do not have to move your business to Gmail to get AI. Your address, domain and server stay where they are.
Your mail stays in one place. IMAP reads the mail on your server. Your folders, sent mail and other apps keep working as before.
You avoid lock-in. If you stop using the AI tool, nothing changes on your mailbox. You simply disconnect it.
What the AI does on top of IMAP
Once connected, a good client adds a layer on top of your mail:
- It sorts new messages into places like reply, delegate, done and junk.
- It drafts replies you can review, edit and send.
- It takes instructions in plain words, typed or dictated.
- It translates mail in other languages and can write replies in them.
- It searches in plain language, including older mail still on the server.
How to connect: app passwords
Most providers do not let outside apps use your main password. Instead, you create an app password, a separate password for one app that you can cancel any time.
Where to find it depends on your provider:
- Fastmail: Settings, then Privacy & Security, then Manage app passwords. Create one for Mail (IMAP/POP/SMTP). See Fastmail’s guide.
- Zoho Mail: make sure IMAP access is on under Settings, then Mail Accounts. Then create an app password in your Zoho account.
- AOL Mail and Yahoo Mail: Account Security, then Generate app password.
- iCloud Mail: Apple Account, then Sign-In and Security, then App-Specific Passwords.
- Company mail servers: ask your IT team for the IMAP and SMTP server names and whether app passwords are required.
A well-built client looks up your provider from your address and fills in the server settings for you, so you only paste the password.
What to check before you connect
Your mailbox is sensitive, so hold any AI tool to a high bar:
- Read-only by default. It should never move, delete or flag mail on its own.
- No sending without your click. The AI writes drafts; you decide what goes out.
- Encrypted storage of credentials. Your app password should be stored encrypted, never shown again.
- Safe handling of email content. Emails can carry hidden instructions aimed at AI. The tool must treat them as text, never as commands.
